The new grant Future Proofing Fund is being launched in April 2024 and will run until March 2025. The fund will provide match-funded grant support to assist businesses to safeguard jobs and develop businesses in Wales. It will provide eligible micro, small and medium businesses in the retail, hospitality, and leisure sectors with capital funding between £5,000 - £10,000 to invest in measures to future proof their business.
The Welsh Government will be the controller for collecting personal information processed for this purpose.
What is the Lawful Basis for processing?
Your personal data is processed as part of Welsh Government’s public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government.
What personal information do we need to process?
We will need to collect and process your full name, business name, email address, telephone number and financial information. This will be collected online through the application process and financial information will be submitted via email.
The following types of personal information are more sensitive (special category data) we will will be collecting sex, gender identity, disability, ethnic, if a Welsh Speaker, year of birth as this data needs to be processed so we can ensure your specific requirements can be met: physical or mental health conditions.
Why do we need to process your personal data?
We will only use your personal information for the purposes of checking eligibility for the Future Proofing Fund grant as required. After the grant has ended in January 2026 we will be asking the fund beneficiaries to take part in an Impact Survey.
We will use the data to conduct other verification checks including VAT number, CRN with Companies House, Creditsafe Report data, and data from any other Welsh Government grant to check whether you have complied with the conditions of those awards or whether you are in debt to Welsh Government?
How long will we keep your personal information?
The Welsh Government will keep your personal information for a period of 10 years as per the guidance for Subsidy Control for businesses.
Will your personal information be shared?
Welsh Government will share your personal information with third party contractors that are going to be working on our behalf to evaluate and make recommendations to Welsh Government officials on the projects that are eligible for the Future Proofing Fund.
The Welsh Government will be publishing a list of grant recipient names and amounts on the Welsh Government website once the awards have been paid.
Your rights
Under the UK GDPR you have the following rights:
- To access a copy of your own data;
- For us to rectify inaccuracies in that data;
- To object to or restrict processing (in certain circumstances);
- For your data to be ‘erased’ (in certain circumstances); and
- To lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
