How we use your personal information
This privacy notice describes how the Welsh Government will collect and use your personal information once you’ve completed your placement on one of our funded productions.
By becoming a trainee on a Creative Wales funded production it is necessary for Welsh Government to process some personal data about you. We will need to process your name, email address and post code. This information will be shared with Welsh Government by the production company at the end of your placement. Welsh Government will be the data controller for the purposes of monitoring and evaluating the placement. Your personal data is processed as part of Welsh Government’s public task; that is, monitoring and evaluating the effectiveness of trainee placements to be able to continue to support employment within the creative sector.
We will use the contact details provided to:
- Issue you with a document that will provide you with useful links and routes into work in the sector.
- Issue a feedback form to gather information on your placement.
- Issue an evaluation survey which will be completed on a voluntary basis. The information collected from this will only be used to understand how the opportunity of working on a Government funded production has helped progress your career within the sector, improve internal processes and refine policy. We will send this survey annually for a maximum period of 4 years.
- Confirm your residency. An element of the funding pre-conditions is that every trainee must be Wales based.
We will also collect feedback from the production company on your performance during your placement. The purpose of us collecting this information is to assess how successful the traineeship has been so that we can continue to improve and support the creative industry in Wales.
We also request that you provide Equality and Diversity information. This is not mandatory and any information that you do provide will be processed separately from any information that identifies you as an individual (i.e. it will be anonymous). This data will only be used to help provide a better understanding of the equality and diversity within the sector.
Your rights
Under data protection legislation, you have the right:
- to be informed of the personal data Welsh Government holds about you and to access it
- to require us to rectify inaccuracies in that data
- to (in certain circumstances) object to or restrict processing
- for (in certain circumstances) your data to be ‘erased’
- to (in certain circumstances) data portability
- to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
