The Welsh Government is the data controller for any personal data that you provide.
All personal data will be handled in line with General Data Protection Regulation, in compliance with the Data Protection Act 2018 (DPA 2018), as the EU GDPR no longer applies to the UK.
The provisions of the EU GDPR have been incorporated directly into UK law as the UK GDPR.
Why we collect and process your personal data
We collect your data to enable us to manage the Welsh Government Innovation scheme. The ways we use the data, include, but are not limited to:
- To monitor progress, outcomes, and impacts of the Innovation Strategy
- To evaluate the Innovation Strategy to inform decisions on future policies
- To produce anonymous statistical publications
- For audit purposes
- For promotional activity
- As part of aggregate results for use in various reports
Who will have access to your personal data?
We may need to disclose your information to a third party if their input is required to deliver a co-ordinated innovation service. This is inevitable where, for example, the enquiry is about services delivered by one of our partner delivery bodies. If you don’t want information identifying you to be disclosed, we will try to respect that. However, it may not be possible to deliver our support to you on an anonymised basis.
In some cases, it is necessary for the Welsh Government to undertake due diligence checks during our service to you. If additional personal data is needed then you will be asked to provide this. If you don’t want to provide the information requested, we will try to respect that. However, it may not be possible to progress your needs if you do not provide the information. This could include, but is not limited to, checks to confirm identity or, in the case of funding requests, fraud and other financial probity checks.
Lawfulness
The work of the innovation team is carried out as part of the Welsh Government’s public economic development remit to create jobs, growth and wealth in Wales.
Any research or evaluation will only be undertaken with your consent. If you are contacted to take part in any research or evaluation about your experience of our service then the purpose will be explained to you and you will be at liberty to accept or decline participation. Your contact details will only be used for the specified purpose and will be deleted once this approved research is complete.
Any promotional activity will only be undertaken with your consent. You have the right to decline participation in promotional activity.
How long are your details kept?
Your details will be retained on our systems in line with Welsh Government retention policy for up to 10 years as part of our ongoing training and quality reviews.
Your personal data will be retained on Welsh Government IT systems for up to 7 years in line with the Welsh Government retention policy.
Your details will be retained on any contractors’ systems until contracts are completed. They will then be returned to Welsh Government and stored in our facilities for 7 years.
Your rights
Under the data protection legislation, you have the right to:
- access the personal data the Welsh Government holds on you;
- require us to rectify inaccuracies in that data;
- (in certain circumstances) object to or restrict processing;
- (in certain circumstances) request your data to be ‘erased’;
- lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.

The Freedom of Information Act and your Information
The Freedom of Information Act 2000 and the Environmental Information Regulations 2004 allow the public to ask to see information held by public bodies, including the Welsh Government. The information you provide us may be the subject of a freedom of information request by another member of the public. We would consult with you to seek your views before disclosing any personal data in response to such a request.
